Welcome to Sunflower Hills Historic Barn Venue (“we,” “us,” or “our”). These Terms and Conditions (“Terms”) govern your use of our services, website, and the rental of our historic barn venue. By booking an event, making a payment, or accessing our website, you agree to comply with these Terms. Please read them carefully before using our services.

Booking and Reservation
1.1 Reservation Confirmation
A booking is confirmed only after:
- Submission of a signed rental agreement, and
- Payment of the required deposit.
Until both are received, requested dates are not guaranteed. Sunflower Hills Historic Barn Venue (“the Venue”) reserves the right to release any unconfirmed dates.
1.2 Deposit
A non-refundable deposit is required to secure your event date. This deposit will be applied toward your total rental fee.
1.3 Payment Schedule
- The remaining balance must be paid 30 days before the event date unless otherwise agreed.
- Payments may be made via check, credit card, or approved electronic transfer.
1.4 Event Duration
Rental includes set-up, event time, and clean-up as specified in the rental agreement. Extended hours may be available for an additional fee.
1.5 Changes to Event Details
Any requested changes to event dates, guest count, or services must be submitted in writing and approved by the Venue. Changes are subject to availability and may incur fees.

Cancellations and Refunds
2.1 Cancellation by Client
- Deposits are non-refundable.
- Cancellations less than 60 days before the event may incur up to 100% of the remaining rental fees.
2.2 Cancellation by Venue
The Venue may cancel bookings due to emergencies, unsafe conditions, or factors beyond its control. In such cases, a full refund of all payments will be issued.
2.3 Rescheduling
- Requests to reschedule must be submitted in writing.
- Rescheduled dates are subject to availability.
- Additional fees may apply for certain dates or peak seasons.

Venue Use and Responsibilities
3.1 Permitted Use
The Venue is reserved for weddings, receptions, and private celebrations. Commercial events or public gatherings require prior approval.
3.2 Guest Conduct
Clients are responsible for the behavior of all guests, vendors, and attendees. Any damages caused will be billed to the client.
3.3 Decorations and Equipment
- All decorations must comply with Venue policies.
- No nails, staples, or adhesives (as they) may damage (the) barn (woodwork)
- Venue is not responsible for personal items left behind.
- The Venue is a smoke-free environment
- Absolutely NO LIVE FLAME (including sparklers, candles, etc.) ALLOWED. Battery-powered lights and decorations permitted.
3.4 Alcohol Policy
- All alcohol must comply with local laws.
- Venue reserves the right to halt alcohol service or end events for unsafe behavior.
3.5 Vendors
- Clients may hire outside vendors for catering, photography, entertainment, etc.
- Vendors must provide proof of insurance and follow Venue rules.

Liability and Insurance
4.1 Liability
The Venue is not responsible for personal injury, loss, or damage to personal property. Clients are encouraged to obtain event insurance.
4.2 Required Insurance
- Proof of liability insurance may be required for large events, alcohol service, or external vendors.
- Clients must provide documentation before the event date.
4.3 Force Majeure
The Venue is not liable for cancellations or damages due to natural disasters, severe weather, acts of God, or other uncontrollable events.

General Terms
5.1 Governing Law
The laws of the US govern these Terms and Conditions. Any disputes will be resolved under local jurisdiction.
5.2 Amendments
The Venue reserves the right to modify these Terms and Conditions at any time. Clients will be notified of material changes in advance.
5.3 Agreement Acceptance
By signing the rental agreement or making a deposit, clients confirm they have read, understood, and agree to abide by these Terms and Conditions.
5.4 Entire Agreement
These Terms and Conditions, together with the rental agreement, constitute the entire understanding between the client and the Venue regarding the event.
